HOW DO I SIGN UP TO VOLUNTEER?

 

FOR MY TEAM?

Please reach out to your Team Manager to volunteer for one of the following positions (if you have not already done so):

Sideline Manager 

Timer/ Scorekeeper/ Spotter

Photographer 

Videographer 

Fundraising Coordinator 

Board/ Community Representative 

Your Team Manager/ Coach may also need additional volunteers in other areas, specific to your Team. Please follow the directions below to log your hours for all volunteer positions.

 

LOG YOUR HOURS:

After you have informed your Team Manager of your desire to volunteer in one of the positions above, your Team Manager will set up a schedule of dates for your Team, so you will know in advance which games/ dates you are committed to. You will then log your completed hours, after you have actually completed them, on the “Track It Forward” website (instructions below).

IMPORTANT: Do not log your hours in advance, as your intended commitment to a certain date, as those hours will be rejected by the administrator. Only log hours that have actually been completed so the Administrator can confirm, and approve, your logged hours.

 

WHAT IF I WANT TO SIGN UP FOR CONCESSIONS, OR FOR AN UPCOMING LTLC EVENT?

All other positions (not listed above), such as Concessions, Spaghetti Feed, Year End Tournament, etc, are considered an “Event”. There are some Events open and available to commit to on “Track It Forward” right now. As our home game schedules are approved by both SSL and WSLA, more events will be opened up by the Administrator. Remember to check back often as Events are filled on a first come first serve basis.

To Log Your Hours:

  1. Log on to:  http://www.trackitforward.com/site/lake-tapps-lacrosse-club
  2. Either Sign In to your existing account, or create a new one.
  3. Click on the Log Hours button, if you are not already taken to that screen
  4. Begin logging hours that you have already completed, by filling in the available fields & drop down menus
    1. Round any quarter hours up, to the nearest half hour increment
    2. Add any notes you wish to let the Administrator know, for approval of your hours.
  5. You can see the number of hours you have already completed on this screen and the number of hours remaining under your 8 hour commitment.
  6. Be sure to click “Submit” to send your hours to the Administrator for approval.

To Sign Up For An “Event”:

Signing up for an Event, allows you to let the Administrator  know that you intend to commit a portion of your hours to a specified date & time, such as Concessions at a specific stadium, or attend a Board meeting as a Community Representative, or volunteer to assist at the Year End Tournament.

*You must also remember to log your actual hours volunteered, after you have completed the hours (a reminder will be sent to you after the event, if you have signed up to volunteer under a specific event); see instructions above for logging your hours afterward.

  1. Log on to:  http://www.trackitforward.com/site/lake-tapps-lacrosse-club
  2. Either Sign In to your existing account, or create a new one.
  3. Click on the Log Hours button, if you are not already taken to that screen
  4. Click on the “Events Sign-Ups” link at the top of the page (just under our LTLC name)
  5. A calendar will display all open Events, available at this time.  They are listed as blue colored bubbles on the calendar.
  6. Click on the Event you wish to commit to (ie Concessions at Pete’s Pool)
  7. Choose the desired time slot and click “Sign Up” (you may send a message to the Administrator if you wish, however it is not a required field)
  8. A “Confirmed” green  button lets you know you are committed to your selected event and your commitment will now show as a green bubble on the calendar page.

IMPORTANT: You may commit to as many Events as you like, however please be mindful to only select events you will actually commit to (ie please do not grab up all of the hours you think you can do, and then cancel last minute), to allow other LTLC parents the opportunity to commit their hours as well.

 

FREQUENTLY ASKED QUESTIONS

WHAT IF I NEED TO CANCEL AN EVENT I SIGNED UP FOR?

If you need to cancel an Event (or a specific time) that you signed up for online, because your family’s schedule changed, or you received a notification that your home game was moved?

  1. Follow to steps above to get to the Event Sign Up Page
  2. Select the Event you wish to cancel.
  3. Click on the red “x” next to your name to remove yourself from the event (notification will be sent to the Administrator)

 

CAN MY CHILDREN ATTEND, OR HELP ME AT CONCESSIONS?

Yes, as long as you can properly supervise your youngest children, and volunteer at the same time, they may attend with you. If you wish to have your older children volunteer with you, please be willing to supervise them.

Other things to consider about Concessions:

Not all of our Concessions locations are contained inside of a “booth”, and you may be out of doors, or under a pop-up.

You will be asked to handle cash and count change back. If you intend to use your children to assist you, please be willing to supervise them.

If you are volunteering to set up concessions, you must be willing to pick up the concessions tubs a couple of days before the game begins.

If you are volunteering to tear down concessions, you must be willing to drop off the concessions tubs either the day of, or the next day following the game, in order to restock the tub and turn the funds over to the Treasurer.

Any Concessions Events that do not have both a “set up” and “tear down” volunteer, may be subject to cancelation. If you are signed up for an event that appears might cancel, due to lack of volunteers, please reach out to another parent who might be willing to assist you. Concessions is more fun with a friend!

 

CAN MY HIGH SCHOOL STUDENT OR FAMILY MEMBER VOLUNTEER AT CONCESSIONS?

Any member of your family can volunteer in your place at Concessions, and earn credit towards your family’s hours. Please have them create an account of their own on Track It Forward, to sign up for an Event. Alternately, you may sign them up under your account and send a message or note to the Administrator, through Track It Forward, regarding the High School Student or family member’s name (for tracking purposes).

 

I AM WORRIED I WON’T COMPLETE MY 8 HOUR REQUIREMENT BEFORE THE END OF SEASON?

Do not worry. In addition to the Events that are currently available throughout our regular season, we intend to host a year end Tournament, and there will be countless hours available, for you to complete any remaining hours.

 

WHAT HAPPENS IF I DON’T COMPLETE MY 8 HOUR REQUIREMENT BEFORE THE END OF SEASON?

In the very unlikely event, that you are not able to complete your volunteer requirement, or volunteer as much as you though you would be able to originally, LTLC will invoice you for the $100 buyout option that was available to you during Registration.

IMPORTANT: There will be NO partial credits given to families who have completed some of, but not all, 8 hours during the season. Again, we encourage you to reach out the Director of Operations, should you have any concerns about where you can volunteer your time.
